1. Safety & Behaviour

1.1 Zero Tolerance Policy
Your safety and the safety of our staff is our highest priority. To ensure a safe environment for everyone, we operate a strict Zero Tolerance Policy. Any participant who engages in the following will have their session immediately terminated without a refund:

  • Performing dangerous acts such as running, jumping, throwing items, or intentionally making physical contact with others.

  • Showing signs of being under the influence of alcohol or drugs.

  • Harassing, abusing, or using offensive language towards our staff or other participants.

  • Having any hazardous items in your mouth (like chewing gum, lollies, or food) while using the VR headset.

1.2 Age Restrictions
To ensure all participants can safely enjoy our experiences, we have the following age requirements:

  • Minimum Age: The minimum age to participate is 10 years old.

  • Ages 10–13: Must be actively supervised by a parent or legal guardian who remains on-site for the entire duration of the event.

  • Ages 14–17: A parent or legal guardian must sign the digital waiver on their behalf in advance of the session.

1.3 Health Risks & Warnings
Virtual Reality is an immersive experience that may not be suitable for everyone. By participating, you acknowledge the following risks:

  • Motion Sickness: VR can cause dizziness, nausea, motion sickness, or disorientation. Please participate at your own risk.

  • Seizures: Some experiences include flashing lights or patterns that may trigger seizures in people with photosensitive epilepsy or other photosensitive conditions.

  • Physical Injury: Be aware of your surroundings. Despite safety measures, moving in virtual reality can lead to trips, falls, or collisions with objects or people if you are not careful.

2. Bookings & Payments

2.1 Refund & Cancellation Policy
We understand plans can change, so please review our policy carefully.

  • a. Non-Refundable Bookings: All bookings are final. We do not offer refunds for cancellations made by the customer.

  • b. GLAB-Initiated Cancellations: A full refund will only be issued if GLAB is responsible for cancelling your session.

  • c. Incorrect Space: It is the customer’s responsibility to ensure the provided space meets our minimum requirements (4m x 4m). Bookings that proceed in a space below our minimum specifications forfeit any eligibility for a refund.

  • d. Change of Mind: We do not offer refunds for changes of mind or if you simply decide you do not like the experience.

  • e. Faulty Service: Refunds or credits are only available if the service is faulty, fails to perform its intended function, or materially differs from how it was described on our website.

2.2 Rescheduling
We are happy to help you reschedule your event with sufficient notice.

  • 48+ Hours Notice: If you provide more than 48 hours’ notice, we will issue a credit for a future booking.

  • Less Than 48 Hours Notice: Unfortunately, we cannot offer a credit or rescheduling for late notices.

2.3 Travel Fee Vicinity
Our standard pricing includes travel within a 20km radius of our base location.

  • 20km+: Bookings beyond 20km will incur an additional 5% travel surcharge.

  • Additional Distance: An extra 5% surcharge will be added for every additional 5km beyond the initial 20km.

3. Equipment & Venue

3.1 Space Requirements
A proper play space is crucial for a great and safe VR experience.

  • Minimum: A clear, flat, and obstacle-free area of 4m x 4m is required.

  • Maximum: We can accommodate spaces up to 10m x 10m for larger events.

  • Indoor vs. Outdoor: Indoor spaces are strongly preferred. While we can set up outdoors, we cannot offer refunds for disruptions caused by weather (e.g., rain, wind, extreme sun).

  • Lighting: Good, consistent lighting is required for the VR equipment to track movement accurately.

  • Experience Variation: Please note that the available game modes and quality of the experience can be affected by the size and quality of the space you provide.

3.2 Damage Fees
Our equipment is expensive and essential for our business. You are responsible for any damage caused during your rental period.

  • Headsets: A fee of $800 AUD will be charged per damaged VR headset, covering the full replacement cost.

  • Accessories: A fee of $50 AUD will be charged for any damaged accessory, including controllers, straps, or cables.

4. Event Rules

4.1 Game Selection
To ensure your event runs smoothly and on time, all game choices must be finalised before your session begins. Unfortunately, we cannot make changes to the game selection once the event has started.

4.2 Staff Authority
Our crew moderators are trained to ensure everyone’s safety and enjoyment. They have the final authority to pause or immediately terminate any session if they observe violations of our safety rules or inappropriate behaviour, without issuing a refund.

5. Liability Limits

5.1 GLAB’s Limitations of Liability
While we take every precaution, GLAB cannot be held responsible for:

  • Injuries resulting from the misuse of equipment or failure to follow safety instructions.

  • Issues with the venue that are outside of our control, such as power outages, inadequate power supply, or an unsuitable play space that was confirmed by the customer.

5.2 Data Privacy
We respect your privacy. Any personal information you provide is stored securely and used only for the purposes of managing your booking and providing our service to you. For full details, please refer to our separate Privacy Policy on our website.
